1. Who We Are & Scope

AZA Builders LLC (“AZA Builders,” “we,” “us,” or “our”) is a Class A licensed design-build general contractor specializing in custom home construction and luxury remodeling throughout Northern Virginia. Our principal place of business is 14100 Sullyfield Cir, Suite 300, Chantilly, VA 20151.

This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit azabuilders.com (the “Site”), request an estimate or consultation, become a client, or otherwise communicate with us by web form, email, phone, or text message. By using our Site or services, you agree to the practices described here.

Because AZA Builders is based in and operates within the Commonwealth of Virginia, this Policy is designed to comply with the Virginia Consumer Data Protection Act (VCDPA), Va. Code § 59.1-575 et seq., the federal Children’s Online Privacy Protection Act (COPPA), the CAN-SPAM Act, and applicable telephone and text-messaging regulations.

2. Information We Collect

The categories of information we collect depend on how you interact with us. As a residential construction and remodeling company, we typically collect:

  • Contact & Identity Data: Name, mailing address, email address, telephone/mobile number, and preferred contact method.
  • Project & Job-Site Data: Property address, scope of work, square footage, existing site conditions, floor plans, design preferences, HOA or permit details, access instructions, and project timelines.
  • Photography & Media: Photographs, video, drone imagery, and renderings of your property before, during, and after a project.
  • Financial & Insurance Data: Budget ranges, payment and billing details, financing/loan information you choose to share, deposit and invoice records, and homeowner’s or builder’s risk insurance information relevant to a project.
  • Communications Data: Records of emails, text messages, call notes, form submissions, and consultation requests.
  • Technical & Usage Data: IP address, browser type, device identifiers, pages viewed, and referring URLs collected automatically through cookies and analytics tools.

We do not intentionally collect sensitive data (such as Social Security numbers, government IDs, precise geolocation, health, or biometric data) through the Site. If financing or a formal contract requires sensitive information, it is collected separately and handled with heightened care, and only with your consent.

3. How We Collect It
  • Directly from you — when you request a free estimate, book a consultation, submit a contact or newsletter form, sign a contract, or communicate with our team.
  • Automatically — through cookies, Google Tag Manager, and analytics technologies as you browse the Site.
  • During a project — through site visits, measurements, photography, and project management activities.
  • From third parties — such as financing partners, subcontractors, designers, suppliers, or referral sources, where relevant to your project and permitted by law.
4. How We Use Your Information

We use the information we collect to:

  • Respond to inquiries and provide free estimates, consultations, and design proposals;
  • Plan, schedule, perform, and manage construction and remodeling projects;
  • Prepare contracts, change orders, invoices, and warranty documentation;
  • Coordinate permits, inspections, subcontractors, suppliers, and financing;
  • Communicate with you by phone, email, and text about your project and our services;
  • Send marketing communications and newsletters where you have opted in (see Sections 8–9);
  • Maintain a portfolio and marketing materials using project media (see Section 6);
  • Improve our Site, services, and customer experience;
  • Comply with legal, tax, licensing, insurance, and recordkeeping obligations; and
  • Establish, exercise, or defend legal claims.

We do not sell your personal data, and we do not engage in targeted advertising or profiling that produces legal or similarly significant effects.

5. How We Share Information

We share information only as necessary to operate our business and serve you. Categories of recipients include:

  • Subcontractors, suppliers, designers, architects, and engineers working on your project;
  • Service providers such as our website host, CRM/project-management platform, payment processors, email and SMS providers, and analytics vendors;
  • Financing partners and lenders when you request assistance with financing;
  • Government and permitting authorities for permits, inspections, and code compliance;
  • Insurers and legal/accounting advisors as needed;
  • Authorities or other parties when required by law, subpoena, or to protect our rights, property, or safety.

We require our service providers to use your information only to perform services for us and to protect it appropriately.

6. Photography, Video & Project Media

We routinely photograph and record video of our projects for quality control, documentation, and marketing (including our website, social media, and portfolio). Where reasonably possible, project media is captured to focus on the work performed rather than identifiable persons.

  • By engaging AZA Builders, you grant us permission to capture and use images and video of the completed and in-progress work at your property for these purposes, unless you opt out.
  • We will not publish your name, full street address, or other identifying personal details alongside project media without your consent.
  • You may request that we refrain from publicly using media of your project, or remove previously published media, by contacting us at info@azabuilders.com. Removal applies prospectively and may not affect materials already distributed.
7. Financial & Insurance Information

To prepare estimates, process deposits and payments, and coordinate financing or insurance claims, we may handle billing details, payment records, financing information you choose to share, and insurance information relevant to your project. Payment card and bank details are processed through reputable third-party payment processors; we do not store full payment card numbers on our own systems. Financial information is used only for project, billing, financing-coordination, tax, and recordkeeping purposes, and is retained as described in Section 13.

8. Text Messaging (SMS) Privacy

If you provide your mobile number and consent to receive text messages, we may send appointment, project, and (where opted in) promotional messages.

  • Consent is voluntary and is not a condition of purchasing any service.
  • Message frequency varies based on your project and preferences.
  • Message and data rates may apply.
  • Reply STOP to opt out at any time; reply HELP for assistance.
  • Mobile information will not be shared with or sold to third parties or affiliates for their marketing or promotional purposes. All categories of mobile opt-in data are excluded from any third-party sharing. Information may still be shared with the service providers that help us deliver the messaging (for example, our SMS platform), strictly to operate the program.

9. Email Marketing (CAN-SPAM)

When you subscribe to our newsletter or opt in to updates, we may send marketing emails. Every marketing email includes a clear unsubscribe link and our physical mailing address. We honor opt-out requests promptly. You may also unsubscribe by emailing info@azabuilders.com. We will continue to send non-marketing, transactional messages relating to an active project even after you opt out of marketing.

10. Cookies & Analytics

Our Site uses cookies and similar technologies, including Google Tag Manager and associated analytics tools, to understand how visitors use the Site and to improve performance. You can control or disable cookies through your browser settings; doing so may affect Site functionality. We do not use cookies to engage in cross-context behavioral advertising that constitutes a “sale” of personal data under the VCDPA.

11. Your Virginia Privacy Rights (VCDPA)

If you are a resident of Virginia, the Virginia Consumer Data Protection Act gives you the right to:

  • Confirm & Access — confirm whether we are processing your personal data and access that data;
  • Correct — correct inaccuracies in your personal data;
  • Delete — request deletion of personal data we hold about you;
  • Portability — obtain a copy of your data in a portable, usable format; and
  • Opt Out — opt out of the processing of your personal data for (a) targeted advertising, (b) the sale of personal data, or (c) profiling that produces legal or similarly significant effects. We do not engage in these activities, but you may still submit a request.

How to exercise your rights: Email info@azabuilders.com or call (571) 393-2722 with the subject line “Virginia Privacy Request.” We will respond within 45 days (extendable by an additional 45 days where reasonably necessary, with notice). We may need to verify your identity before fulfilling a request.

Appeals: If we decline your request, you may appeal by replying to our decision or emailing us with the subject line “Privacy Appeal.” We will respond within 60 days. If your appeal is denied, you may contact the Virginia Attorney General at oag.state.va.us.

12. Children’s Privacy (COPPA)

Our Site and services are intended for adults (primarily homeowners) and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us at info@azabuilders.com and we will delete it.

13. Data Retention

We retain personal information for as long as needed to fulfill the purposes described in this Policy and to satisfy legal, tax, warranty, licensing, and insurance obligations. Project records, contracts, and financial documentation are typically retained for the duration of the project plus the applicable warranty and statutory limitation periods. When information is no longer required, we securely delete or anonymize it.

14. Data Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect your information against unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

15. Third-Party Links

Our Site may contain links to third-party websites (for example, financing partners or social media). We are not responsible for the privacy practices of those sites and encourage you to review their policies.

16. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date reflects the most recent revision. Material changes will be posted on this page, and your continued use of the Site after posting constitutes acceptance of the updated Policy.
